What is an AI receptionist?

An AI receptionist answers your business phone and your website when you cannot. Telos Creative in Windsor, Colorado sets one up for Northern Colorado businesses. It answers questions from your own information, books calls onto your calendar and emails you every conversation within minutes. We build and run all of it, so bookings and leads land in your own inbox.

Why answer calls outside business hours?

Customers call when they are free, and that is often when you are not.

  • Half of calls go unansweredA person answers only 52% of calls to home services businesses, according to Invoca’s 2026 home services benchmark. Every missed call is someone who wanted you right then.
  • People call in the evening and at weekendsFor one Colorado remodeling client of ours, 22 of 50 taps on the phone number on their website came outside their open hours, between 31 August and 17 October 2026.
  • The next business in the search results answersSomeone with a leak or a deadline rarely waits until morning. If you do not pick up, they call the next number on the list.
  • Your AI receptionist never closesIt answers at 9pm on a Saturday, takes their details, answers their questions and books them onto your calendar for the next open time. You read the summary over coffee.

What does it do for your business?

The same assistant answers your phone and your website, with one voice and one set of answers.

  • Answers the calls you missKeep your number. Calls you do not pick up forward to the assistant with your carrier’s own code, so a caller never hits voicemail.
  • Talks to your website visitorsA friendly button on every page lets visitors talk to it out loud, or type if they prefer, and a page of its own shows it on video.
  • Answers from your own informationYour services, the towns you cover, your hours and your answers to common questions. When it does not know, it takes their details for you.
  • Books onto your calendarIt offers real open times inside the hours you set and books the one the caller picks. Your calendar sends the confirmation and reminders.
  • Sends you every conversationWithin a couple of minutes you get an email with the caller’s name, number, what they need, any booking and the full conversation.
  • Gets their name and email firstIt asks who it is talking to early on. On your website the details appear on screen to check and save, so you never get a lead with a misheard email.
  • Books without sending people awayOn your website, bookings happen in the chat or in a calendar window over the page, so visitors stay on your site.
  • Ends spam calls fastRobocalls, sales pitches and wrong numbers are ended in seconds, so they never reach your inbox.
  • Tells people it is an AIIt says so in its first sentence, and again if anyone asks.

Why have us set it up instead of a do-it-yourself tool?

You can sign up for an AI phone tool yourself. The tool is the easy part. The work is everything around it, and that is the part we do for you.

  • Your words and your voiceWe write what it knows from your website and your answers, pick a voice that suits you, and test it on real calls before it goes live.
  • Your phone and your calendarWe set up the call forwarding with your carrier and connect your calendar, so bookings show up the way your own do.
  • Your inboxSummaries and bookings land in your own email. There is nothing new to log in to and nothing to check.
  • Your dashboardIf we look after your SEO, every conversation shows up as a lead on your Telos dashboard, next to your calls and forms.
  • Kept up to dateWhen your services, hours or offers change, tell us and we update what it knows.

How does a call go?

  1. You cannot pick upYou are on a job or it is after hours. After a few rings the call forwards to your AI receptionist.
  2. It answers and booksIt answers in your business name, says it is your AI assistant, asks who it is talking to, answers their questions and offers two real times from your calendar.
  3. You get the summaryThe booking is on your calendar, and the details and the full conversation are in your inbox within a couple of minutes.

What do you get after each conversation?

An email like this one, every time. The name, the business, the town, the number they called from, what they want, the time they booked and the whole conversation, word for word.

Calls that were robocalls or sales pitches are kept on record but never emailed to you.

What can it not do?

It is good at answering, booking and passing details on. These are the places it stops.

  • It does not quote prices unless you want it toBy default it points people to a call with you. If you are happy to share price ranges, we add them.
  • It is not for medical or therapy practicesHealth information needs a HIPAA agreement this setup does not offer, so we do not build it for health businesses.
  • It can mishear an email address on the phoneIt reads every email back to the caller. On your website the address appears on screen for the visitor to check, and typos are caught before it is saved.
  • Texting the booking link takes a few days to set upTexts from a business number need carrier registration first. Until that is approved, it emails the link instead.

Meet Theo before you decide

Theo is the assistant on our own website, a Colorado black bear in a TELOS polo, and the same setup we build for clients. Ask him about our services, ask whether he is a real person, have him run a free audit of your website, or ask him to book you a call.

Who is it for?

Small businesses in Fort Collins, Loveland, Greeley, Windsor, Longmont and the rest of Northern Colorado that lose calls while they work. Contractors and home services on a job site, shops and studios with one person at the front, and any business that gets calls after hours.

Not sure it would pay for itself? We compared the costs with a human answering service and listed what it cannot do in is an AI receptionist worth it for a small business.

It works best alongside a website built to bring in calls, so the people who find you online have one clear next step.

Questions about the AI receptionist

Can I keep my business phone number?

Yes. Your number stays the same. Calls you do not answer forward to the AI receptionist with your phone carrier's own call forwarding code, and another code switches it off.

Does it work after hours and on weekends?

Yes. It answers at any hour, every day. It only books calls inside the hours you set, so nobody lands on your calendar at 3am.

Will callers know they are talking to an AI?

Yes. It says it is your AI assistant in its first sentence, and it says so again if anyone asks.

Can it sound like me?

It can. A one to two minute recording of you talking is enough for a copy of your voice. You can also pick from a range of ready-made voices.

What happens when it does not know the answer?

It says so, takes the caller's name, number and question, and passes them to you in the summary email so you can follow up.

Can it have its own name and character?

Yes. Ours is Theo, a Colorado black bear in a TELOS polo who loves his coffee. Yours can carry your business name, a character of your own, or your own voice.

How does it get the right email address?

It asks for the caller's name and email early on. On your website the details appear on screen to check, it spots common typos like gmial.com, and it checks that the address can receive mail before it is saved.

Which calendar does it book into?

It books into Calendly today. If you use a different booking tool, ask Arnold on the call and he will tell you whether it can connect.
